What the BYOB & Ice Planner computes, and what it cannot

What it computes

From your guest count, rental hours and drink preference the planner multiplies out a shopping list. It assumes about two drinks per person per hour for beer or a full bar and one and a half for wine or cocktails, then converts drinks into ice (half a pound per drink for cans, a pound for mixed drinks), twenty-quart coolers at roughly fifteen pounds of ice each, half a bottle of water per person per hour, and the beer, wine, spirit, mixer and cup counts that preference implies.

When to use it

Open it the week before the trip, once the headcount and the hours on the agreement are fixed, and shop from the list. The ice figure is the one people get wrong most: a long summer evening with cocktails needs several times the ice of a short beer run, and the coolers have to fit the bar area of the bus you booked.

What it cannot tell you

It cannot tell you what is allowed on board. Alcohol rules depend on the age of every passenger, on state law and on our on-board policy for the vehicle, and anything with an under-21 passenger is alcohol-free without exception. Check the on-board rules on your agreement before you shop, and ask us how much cooler space the vehicle has.

BYOB & Ice Planner questions

What people ask about this tool and the decision behind it.

How much ice do we need for a party bus?

The planner works from half a pound per canned drink to a pound per mixed drink, over the whole rental. For twenty people on a five-hour cocktail night that is around a hundred pounds, which is more than most groups expect and why the cooler count matters.

Can we bring glass on the bus?

Glass policy is set on the agreement for the vehicle you book, and cans and plastic are easier for everyone at every stop. Ask us before the night rather than at the door.

Does the planner account for passengers who do not drink?

Not directly. Enter the number of people who will be drinking, and add water for everyone separately; the water line already assumes half a bottle per person per hour.
