Guest Communication Hub

You need 15, 20, or 30 people at the right place at the right time with the right info. But writing clear group messages about pickup locations, timing, rules, and logistics from scratch is tedious and things get lost. Therefore, grab a pre-built template for any scenario, customize the details, and copy it to your clipboard โ€” ready to paste into any group chat.

What the Guest Communication Hub computes, and what it cannot

What it computes

Pick a template, for pickup coordination, a day-before reminder, bus rules and etiquette, or a cost-split request, fill in the fields it asks for (event name, date, pickup time and address, dress code, organizer, per-person amount) and the hub assembles a finished message you copy to the clipboard and paste into any group chat.

When to use it

Use it as soon as the booking is confirmed, then again the day before. The pickup message should carry the exact time and address from the agreement and name the one person who owns the headcount, because a group that knows where to stand and whom to call loads in five minutes instead of twenty, and billable time starts at the contracted pickup time either way.

What it cannot tell you

It cannot tell you the correct pickup time or the on-board rules; it formats whatever you type. Copy both from the agreement, not from memory, and if the vehicle is staging somewhere other than the door, put the actual meeting point in the message. For anything that changes on the day, call the number on your confirmation rather than editing the message.

When the tool has done its part, call us at 844-725-4257 or send the itinerary and we name the bus, the itemized total and the written terms.

Guest Communication Hub questions

What people ask about this tool and the decision behind it.

What should the pickup message include?

The date, the exact pickup time from the agreement, the address or meeting point, the name and number of the person doing the headcount, and a one-line reminder that the bus leaves at the stated time.

When should I send the reminder?

The evening before, with the pickup time, the address, the dress code and the on-board rules. A second short message an hour before pickup catches the people who did not read the first.

Does the cost-split template handle gratuity?

It takes whatever per-person figure you enter. Work that figure out from the flat total on the agreement, including the gratuity line if there is one, so nobody is asked twice.

What the inquiry data shows

  • Across our bookings

Our busiest months are May, August, September and October; January and February are the quietest. Spring proms and graduations and early-autumn weddings and football are when popular vehicles are hardest to get on short notice.

  • Across our bookings

18% of our booked trips run more than six and up to 24 hours.

  • Across our bookings

Party buses account for 63% of the vehicles we book. Stretch and SUV limousines take 19%, Sprinter-based vehicles 16%, and coach or shuttle buses 2%.
