What the Overtime Risk Calculator computes, and what it cannot

What it computes

The calculator scores how likely your plan is to run past its booked end. It starts from a risk factor for your event type (bar crawls and bachelor parties highest, corporate events lowest), adds a penalty for every stop and another for a tight hour count, and turns the result into a percentage, a low-to-critical level and a suggested buffer in half-hour steps. It also shows the hours the plan is likely to really take.

When to use it

Use it after you have drafted the itinerary and before you decide the hours on the agreement. If the score comes back high, the cheapest fix is booking one more hour up front rather than paying overtime on the night; the second cheapest is dropping a stop. Either way, ask us for the overtime rate and billing increment in writing so you know what the alternative costs.

What it cannot tell you

It cannot tell you what overtime costs or how it is billed. The rate, the increment (fifteen minutes or a full hour) and whether the clock runs from garage or from pickup are contract terms, and they belong on the written quote. The score is a planning signal about your schedule, not a prediction of a charge.

When the tool has done its part, call us at 844-725-4257 or send the itinerary and we name the bus, the itemized total and the written terms.

Overtime Risk Calculator questions

What people ask about this tool and the decision behind it.

Which events run overtime most often?

Bar crawls, bachelor and bachelorette parties and winery tours, in that order, because the schedule depends on how long people stay somewhere they are enjoying. Corporate shuttles and proms are the most punctual.

Is it cheaper to book an extra hour or to pay overtime?

Usually the extra hour, because overtime is billed at a stated rate and increment and rounds up. Ask us for both figures in writing and compare them for your trip.

How is the suggested buffer calculated?

The risk score is scaled to a number of hours and rounded to the nearest half hour, with a minimum of thirty minutes. It is a starting point for the conversation about hours, not a rule.
